ArtsPool uses Google Drive and Google Docs for document management and collaborative editing, and we often share documents with our members so that we can work on them together. We also use Google Meet for most videoconferencing, so it's very important to have a Google account when working with us.
If your organization already uses Google Workspace for email, document storage, etc, you are already good to go and don't need to set anything up.
If your organization does not use Google Workspace, just follow the steps below to create a Google account associated with your work email address.
Create a Google account
- Visit the Google Account sign up page.
- Enter your first and last name in the respective fields.
- Click the link that reads Use my current email address instead and enter your work email in the field.
- Enter a unique password in the appropriate field and confirm it. Be sure to save your password somewhere (preferably a password manager)!
- Enter the verification code that is sent to your email address and click Verify.
- Follow the prompts to complete the account creation process.
You're all set! Now you can easily share and collaborate on documents with ArtsPool.
Errors related to visitor sessions
If you had a document or folder shared with you by ArtsPool prior to creating a Google Account, Google will have created a "visitor session" granting you access to those files and folders for a seven-day period. Unfortunately, having an active visitor session will block you from creating a Google Account so you first need to delete the visitor session.
- Sign in to your visitor session using the "Invitation to [Edit/Comment/View]" email that you received when ArtsPool shared the file or folder with you.
- In the top right, click your initial.
- Click Delete visitor session.
- Click Send.
- In your email inbox, open the verification code email.
- Enter the verification code in the box provided and click Next.
- Click the checkbox and click Delete.
Converting your organization to Google Workspace
